1. Who we are

This Privacy Policy is published by Randle Havens CPA, PLLC, doing business as Havens Advisory (“we,” “us,” or “our”). We are a licensed CPA firm based in Texas, providing tax preparation, bookkeeping, and advisory services to clients nationwide on a remote basis. This policy covers the information we collect through this website (havisory.com) and how we handle client financial and tax information in the course of providing professional services.

2. Information we collect

Website visitors. This website collects very little information automatically. Your web browser’s request to our hosting provider may be recorded in standard server logs that include your IP address, the pages you visited, and the time of access. These logs are maintained by our hosting provider and are used for security and operational purposes. We store your theme preference (light or dark mode) in your browser’s localStorage; this data never leaves your device. We do not use analytics services, advertising trackers, or third-party cookies. Any information you voluntarily send us via email or text message — such as a question or a request for services — is collected and retained for the purpose for which you sent it.

Clients. When you engage our services, we collect the information necessary to perform those services. This includes, but is not limited to, tax and financial data (income, deductions, account numbers, investment records), identity documents (Social Security numbers, government-issued identification), and other personally identifiable information you provide so that we can prepare returns, maintain books, or provide advisory services on your behalf.

Third-party services. This website loads web fonts from Google Fonts and Fontshare. When your browser requests these fonts, your IP address is transmitted to those providers’ servers. We do not control how those providers use that data; their respective privacy policies govern their practices.

3. How we use your information

We use the information we collect for the following purposes:

  • To provide the tax, bookkeeping, and advisory services you have engaged us to perform.
  • To communicate with you about your engagement, questions, and account.
  • To fulfill our legal and regulatory obligations, including obligations under the Internal Revenue Code, applicable state tax laws, and professional standards governing CPAs.
  • To operate, maintain, and improve this website and our service delivery.

We do not use your personal information for marketing purposes without your consent, and we do not sell your information to any third party.

4. How we protect your information

We take the security of client information seriously. Our safeguards are designed to comply with the Gramm-Leach-Bliley Act (GLBA) Safeguards Rule and IRS Publication 4557, “Safeguarding Taxpayer Data.” Protective measures include:

  • All staff are U.S.-based and subject to confidentiality obligations.
  • Client data is stored on U.S.-based servers.
  • Access controls and encryption are applied to systems holding client information.
  • Client documents uploaded to our systems are stored outside the public web root and are not accessible via a public URL.
  • We conduct periodic reviews of our information security practices.

No security system is impenetrable. In the event of a security incident affecting your information, we will notify you as required by applicable law.

5. How we share your information

We do not sell, trade, or rent your personal information. We share information only in the following limited circumstances:

  • With your consent. We share information when you have authorized us to do so — for example, authorizing us to correspond with the IRS or a state taxing authority on your behalf.
  • To comply with law. We may disclose information as required by law, court order, or valid legal process, or to protect the rights, property, or safety of our firm, our clients, or others.
  • With service providers. We may share information with vetted third-party service providers (such as tax software platforms or cloud storage providers) under confidentiality agreements, solely to the extent necessary for them to provide services to us in connection with your engagement.
  • IRC §7216 — Tax return information. Under Internal Revenue Code §7216 and the Treasury regulations thereunder, a tax return preparer generally may not use or disclose tax return information for any purpose other than preparing, assisting in preparing, or providing quality or peer review of a tax return without the taxpayer’s prior written consent. Where required, we will obtain your signed consent before using or disclosing your tax return information for any purpose beyond preparing your return.

6. Cookies & local storage

This website uses only essential browser storage today. Specifically:

  • Theme preference — stored in localStorage under the keyhav-theme. This keeps your chosen light or dark display mode between visits. It is never sent to any server.
  • Cookie consent record — stored in localStorage under the key hav-cookie-consent. This records your preference choices so the consent banner does not appear on every visit.
  • Offline cache — a service worker caches the site’s static assets so the site loads quickly and works offline. No personal data is stored in this cache.

We do not use advertising cookies, analytics cookies, or any third-party tracking cookies. You can manage or clear these preferences at any time using the control, or by clearing your browser’s local storage for this site.

7. Data retention

We retain client information for the duration of the engagement and for as long as required by applicable law, IRS guidance, and professional standards governing CPA record-keeping. Generally, tax-related records are retained for a minimum of seven years from the date of filing. After the applicable retention period, records are disposed of securely. Website server logs are retained according to our hosting provider’s standard practices.

8. Your choices

If you are a client or have submitted personal information to us, you may:

  • Request access to the personal information we hold about you.
  • Request correction of inaccurate information.
  • Ask questions about how your information is handled.

To make any of these requests, contact us using the information in Section 13. We will respond within a reasonable time. Some requests may be limited by our legal and professional obligations to retain records.

9. California privacy rights (CCPA/CPRA)

Important note regarding GLBA. Personal information we collect and process in the course of providing financial or tax services to you as a client is subject to the Gramm-Leach-Bliley Act (GLBA). Under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), personal information collected, processed, sold, or disclosed pursuant to the GLBA is exempt from the CCPA/CPRA. Accordingly, this section primarily addresses information we collect about California residents through this website (such as server-log IP addresses and cookie-preference records), not your client engagement information, which is governed by the GLBA and related privacy notices.

California residents who interact with this website have the following rights under the CCPA/CPRA with respect to any personal information not exempt under the GLBA:

  • Right to know. You have the right to request disclosure of the categories and specific pieces of personal information we have collected about you, the categories of sources from which it was collected, the purposes for which it was used, and the categories of third parties with whom it was shared.
  • Right to delete. You have the right to request deletion of personal information we have collected about you, subject to certain exceptions.
  • Right to correct. You have the right to request correction of inaccurate personal information we maintain about you.
  • Right to opt out of sale or sharing. We do not sell or share personal information for cross-context behavioral advertising.
  • Right to non-discrimination. We will not discriminate against you for exercising your CCPA/CPRA rights.

10. Children’s privacy

This website and our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us and we will take steps to delete it.

11. Third-party links

This website may contain links to third-party websites (such as external resources or partner services). We are not responsible for the privacy practices or content of those sites. We encourage you to review the privacy policies of any third-party sites you visit.

12. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, applicable law, or the services we offer. When we make changes, we will update the “Last updated” date at the top of this page. Your continued use of this website or our services after the effective date of the updated policy constitutes your acknowledgment of the changes.
